  • Zapier — event-trigger logic, CRM updates, appointment management

  • Apify — scraping and structured content extraction

  • AI agents — brand voice rewrite, script generation, and social post creation

1. Appointment Logic Automation (Zapier + Calendly)


Challenge
Lead scoring was dynamic, but appointment workflows remained manual. Meetings for low-priority leads often remained scheduled, consuming capacity and reducing operational efficiency.


Solution

  • Zapier monitored CRM lead scores in real time.

  • When a lead fell below a defined threshold, a cancellation trigger was activated that:

    • Cancelled the pending Calendly appointment

    • Notified the internal team

    • Logged the action in the CRM

  • Additional logic ensured that high-priority or warmed leads retained appointments unless manually overridden.
